How appointment booking on WhatsApp works
Appointment booking on WhatsApp means a customer books a time with you in the same chat they already use to message you: they choose a service, a person and a free time, and get a confirmation and a reminder. Salons, spas, tutors, fitness studios and consultants already take most of their bookings this way, usually by hand. This guide covers what a good booking conversation looks like, what to decide first, and how deposits and reminders work.
What a good booking conversation looks like
- The service. With its price and how long it takes, so the customer knows what they’re booking.
- The person. If customers have favourites, let them choose, or pick “anyone free”.
- The day and a free time. Only times that are really free, worked out from your hours, your team and the bookings you already have.
- A check, then a confirmation. The service, the person, the time and the price, in one message, before anything is final.
- A deposit, if you take one. The slot is held while the customer pays, and released if they don’t.
- A reminder. A few hours before, with the time, the address and how to move it.
Done by hand, steps 3 and 5 are where things go wrong: two people offered the same slot, or a slot held for someone who never paid.
What to decide before you take bookings
- Your services and their length. A haircut and a colour take different times. Add a few minutes between appointments if you need them to clean up.
- Your hours. Including breaks and days off, for each person if they differ.
- Who does what. Not everyone offers every service.
- How far ahead, and how late. How many days ahead people can book, and the latest they can book for today.
- Confirming. Whether a free time is confirmed straight away, or you look at each booking first.
- Your rules for changes. Until when a customer can move or cancel, and what happens to a deposit if they do.
Deposits
A deposit turns “I’ll come at five” into a booking someone has committed to. It works best when it’s small compared with the price, taken for the services where a missed appointment costs you most, and explained up front: what it is, that it comes off the bill, and what happens if the customer cancels late. Take it by UPI, and check it arrived in your bank or UPI app before you confirm.
Reminders
A reminder a few hours before is the simplest way to cut down missed appointments. On WhatsApp, timing matters: when a customer booked days ago, the 24-hour window since their last message has closed, so a business on the WhatsApp Business Platform can only send the reminder as a template Meta has approved. A booking reminder counts as a utility message. In India, from 1 Oct 2026, each business number gets 1,000 free service messages a month (your replies inside the 24-hour window); after that, Meta charges ₹0.115 plus GST a message. Templates sent outside the window are charged by category, with marketing the most expensive.

By hand, or with a booking system
By hand works when you have a few bookings a day and one diary. It gets harder with a team, with deposits, or when people book at night. A booking system on WhatsApp offers only the times that are free, holds a slot while a deposit is paid, sends the reminders, and shows you the day on one screen. Signs it’s time to move:
- Two customers have turned up for the same slot.
- You answer “what time is free tomorrow?” many times a day.
- Deposits are agreed in the chat and then forgotten.
- People miss appointments because nobody reminded them.
