How to accept UPI payments on WhatsApp
To accept UPI payments on WhatsApp, send each customer a way to pay the exact amount (your UPI ID or QR code, a payment link or page with the amount filled in, or a payment gateway’s link), then check that the money reached your own bank or UPI app before you prepare the order. How you ask matters less than the habit of checking: almost every payment mix-up on WhatsApp comes from treating a screenshot as a payment.

A UPI link starts with upi://pay and carries your UPI ID, your name, the amount and a short note. Tapped on a phone, it opens the customer’s UPI app with everything filled in. WhatsApp doesn’t reliably make these links tappable in a chat, so most businesses send the same link as a QR code, or a web page that holds the QR and a Pay button. Paying inside WhatsApp is Meta’s own flow for India: a business on the WhatsApp Business Platform sends an order with a Review and pay button, connected to a supported payment gateway or to UPI. It needs a provider that has built it.
Check every payment before you prepare
- Open your own bank or UPI app, not the customer’s screenshot.
- Find the credit for the exact amount, at about the time they paid.
- Match the reference. Ask for the 12-digit UPI reference (the UTR, sometimes shown as UPI Ref No.) and find the same number in your app.
- Mark it paid in one place, against one order, so the same payment can’t be counted twice.
On a busy day this is the slowest part of taking orders, which is why ordering systems either connect a payment gateway that confirms each payment, or keep every UPI payment marked “to check” until someone has seen the money.
Tricks to watch for
- The edited screenshot. The amount, the time or the name changed in an editing app, or a pending payment shown as done. The only answer is your own account.
- The old screenshot. A real payment from last week, sent again for a new order. Matching each reference to one order catches it.
- The collect request. Someone “sends” you money as a request your UPI app asks you to approve with your PIN. Receiving money never needs your UPI PIN or a QR scan; approving that request pays them. The RBI says the same in its safe banking advice.
- The overpayment. A customer says they paid too much by mistake and asks for the difference back. Check your account first, and refund only what really arrived, to the account it came from.
If you lose money to a scam, report it at cybercrime.gov.in or call 1930 as soon as you can.
Make every payment match one order
- Fill in the amount. A link or QR code with the amount stops ₹68 arriving for a ₹680 order.
- Put the order number in the note. UPI links carry a short note, and many UPI apps show it in your history next to the payment.
- One payment, one order. If the same reference is sent for a second order, it isn’t a new payment.
- Decide how long an unpaid order waits. An order waiting for payment shouldn’t hold the last box of sweets all day. Pick a time, tell the customer, and close it when it passes.
Cash on delivery and bank transfer
Cash on delivery still matters for first-time customers and larger orders. If you offer it, accept the order before you prepare it, and record the cash when it’s collected. For bank transfers, give the customer the order number to use as the reference, and check the credit the same way as a UPI payment.
Refunds
Refund a UPI payment by sending the amount back, by UPI, to the account it came from, and note it against the order. Don’t refund to a different number or UPI ID because someone asks in a chat: that’s a common way to be caught twice. A payment gateway refunds from its own dashboard, to the original payment method.
When to stop checking by hand
Checking by hand is fine at a few orders a day. Past that, connect a payment gateway so payments confirm themselves, or use an ordering system that keeps unpaid and unchecked orders apart from paid ones.
