WhatsApp Business app vs API: which one do you need?
Use the WhatsApp Business app if you can answer every customer yourself and your orders fit in your head or a notebook. Move to the WhatsApp Business Platform (the API), through a provider, when you need software to take orders, check payments and send updates for you, or when more than a couple of people answer. The app is free; on the Platform, Meta charges for messages.

What the app does well
- A business profile with your hours, address and a description.
- A catalogue of products or services with photos and prices, which customers can add to a cart and send you.
- Quick replies, labels, greeting and away messages, so the questions you answer every day take a tap.
- Broadcast lists, which reach only people who have saved your number.
- Business AI, launched in India on 7 May 2026: it answers questions from your profile and catalogue in Indian languages, recommends products, books appointments and collects leads, and hands the chat to you when it should. Meta said payments by UPI inside the chat would follow.
Where the app runs out
The app helps you talk; it doesn’t keep the books. When a customer sends a cart, you still add the delivery charge, send the total and your UPI ID, check the money and write the order down. Every order is a chat to scroll back through, and nobody else knows what’s pending unless they read the same chats. Signs you’ve outgrown it:
- You type totals and payment details many times a day.
- Orders or payments get missed when it’s busy.
- Two or more people answer, and each needs to know what the other promised.
- You want updates and reminders to go out without sending each one yourself.
What the Platform adds, and its rules
On the WhatsApp Business Platform, software sends and receives messages for your number. That’s what lets a system answer with your menu, take a cart to a total with delivery and payment, keep count of stock, offer only free appointment times, and send each update as an order moves. It comes with rules the app doesn’t have:
- The 24-hour window. You can reply freely for 24 hours after a customer’s last message. After that, only templates Meta has approved can be sent.
- Template categories. Updates the customer asked for (an order, a booking, a payment) are utility templates. Offers are marketing templates, which need the customer’s agreement and cost more.
- A provider. Most businesses connect through a provider’s software rather than building on Meta’s API themselves.
What the Platform costs in India
Meta bills the business’s own WhatsApp account for each delivered message, by category. From 1 Oct 2026, in India, before 18% GST:

Until 30 September 2026, replies inside the window were free. Providers add their own subscription, and some add a margin to Meta’s rates. The WhatsApp pricing calculator works out a month for your numbers.
Using both on one number
Meta lets a business connect the number it already uses in the WhatsApp Business app to a provider and keep using the app. Customers see one conversation; you reply from the app when you want to, and the provider’s software handles what it’s built for. Worth knowing:
- It’s set up through the provider’s Facebook sign-in, without moving or re-registering your number.
- You can share up to six months of one-to-one chat history with the provider; group chats aren’t shared.
- Open the app at least once every two weeks, or Meta disconnects it.
- A few app features, such as disappearing messages and view once, are switched off while it’s connected.
